To confirm a booking an email containing booking dates, party name, accommodation and meal plan is requested. Chimpnest Safari Lodge will confirm the booking via email.
When a booking is conformed, Chimpnest Safari Lodge will send an invoice of the booking arrangement.
Payment & Confirmation Policy
A booking is made, accepted and guaranteed after an advance payment of at minimum 25% is received and 100% payment is required on or before 14 days of arrival.
Tentative / Provisional Bookings
Chimpnest Safari Lodge can temporarily hold rooms for Tour Operators who wish to make a tentative/provisional booking.
- A tentative reservation is valid for 14 days if the booking date is 30 or more days away.
- A tentative reservation is valid for 3 days if the booking date is less than 30 days away.
After the hold-period, Chimpnest Safari Lodge will release the booking automatically.
Feel free to ask for an extension of the hold period. Chimpnest Safari Lodge can maintain the tentative booking, but if another request for the same dates follows, the booking can only be guaranteed if a down payment of 30% is made within 3 working days, or paid in full if within 14 days of arrival. If no payment is received, Chimpnest Safari Lodge reserves the right to release the tentative booking.

TOUR LEADERS
- Chimpnest Safari Lodge offers free accommodation (BB) in an available room for one tour leader providing the group of paying clients is 12 or more and the number of nights booked is 2 or more. This is always subject to availability.
- When the group of paying clients is 6 or more and the number of nights booked is 2 or more, one tour leader receives a discount of 25% on the TO rate (BB).
- Tour leaders of tour groups with less guests and/or room nights as mentioned above who wish a guaranteed stay in the cottage can book their stay against TO rates.
GROUP BOOKINGS
- In order to hold a group booking for longer than 14 days, or after confirming a group booking, we ask for a 25% deposit of the invoice total.
- Lodge Management must be informed of the final status of a reservation at least 8 weeks prior to the arrival date. Should Lodge Management not have received a final update within this time frame, Lodge Management reserves the right to release rooms without notice.
- Should an update of a tentative booking be requested by Lodge Management, in order to accommodate other bookings, and no response is received within 72 hours (3 business days), Lodge Management reserves the right to release rooms without notice.
RESIDENTS
East African residents will have a special rate and that will apply after providing proof.
- Resident rates apply to all citizens of the East African Union (Kenya, Rwanda, Burundi and Uganda), as well as foreign residents of Uganda and Rwanda.
- Discounts will only apply if proof of residency is provided at the time of booking.
- Citizens will be required to show their valid identification and residents will be required to show their valid work permit.
- The resident rates will apply to everyone staying in the same room with a resident/ citizen, but does not apply to non-residents staying in a separate room.
Cancellation Policy
- When cancelling more than 45 days prior to arrival: no cancellation fee
- When cancelling between 45 and 15 days prior to arrival: 25% of the total invoice will be charged
- When cancelling between 14 and 3 days prior to arrival: 50% of the total invoice will be charged
- When cancelling less than 3 days prior to arrival: 100% of the invoice will be charged
Refunds:
- Refunds can be done via bank transfer (from the lodge’s USD account) or can remain as a credit for a future booking.
- Please note that the lodge will not refund any bank charges. Bank charges made for the refund will be paid by the guest, which can result in a lower amount of money received back than originally paid.
All rates are subject to change without notice.
Please note:
- Notice should be given by email.
- In case of a refund, banking costs will be deducted from the refundable amount.
- Cancellation fees may be waived at the discretion of the Company.
PAYMENTS
- All tariffs are quoted in US Dollars.
- Payments for accommodation have to be paid before arrival and can be done by bank transfer (USD/UGX) or credit card (USD).
- TO rates are only valid for bookings paid in full before arrival. Please note that payments at the lodge are charged against the going Rack rates.
- Payments for drinks/meals at the lodge can be done via credit card (USD/UGX) or cash (USD/UGX).
- For all payments in another currency than US Dollars, Chimpnest Safari Lodge will calculate the payable amount against the going exchange rate ruling at the lodge on the day of payment. This exchange rate is updated by Chimpnest Safari Lodge on a monthly basis.
- Please note that we can only take US dollar notes from 2013 and above. Notes should also be whole and free from any stamps or stains to be accepted.
